Custom voicemail message email

We are receiving spam email messages which look the same as Voipfone's standard message but containing malware as attachment. Although I have notified our forty-odd users regarding this issue, the case has become rather confusing and not all users have the time and patience or experience to take the required extra care and follow instructions to detect bad from good.

This issue must be given extra attention as spammers would easily copy any standard format Voipfone comes up with causing users to be fooled in one way or another.

Receiving voicemail messages by email is an absolute necessity in our corporate environment and for the sake of even a more important issue, being security of our email system, we may be forced to switch off this vital service.

Is Voipfone serious enough about this problem to make changes to the control panel settings so that corporate customers' system administrator can define the format of the voicemail email message for groups and individual extensions?

We would simply wish to be able to define custom email subject and body for each extension; so for instance the subject line reads "New voicemail message for John on extension 212". The main text of the email message would also be defined to say: "Hello John, .................. If your name or extension number is not correct in the subject line please delete the message and ................"

We'll be discussing ways forward to improve things in our upcoming development meetings.

It is already the case that we greet in the emails with customisable text.

The default 'Name' for an extension is in the format 30xxxxxx*2xx, however, it can be changed here https://www.voipfone.co.uk/account.php#view-pbx

So, it may be wise to set the persons name there and possibly something else, such as a symbol at the start or end or some initials of some sort - which will help make the authentic emails more easily identifiable.

Thanks for the tip! However could you also please specify if changing said name field would affect what is entered in the account setting of the actual phone extension where user ID and password is configured. Would those need updating too on the phone devices?

We have also entered and saved "30xxxxxx*200", "30xxxxxx*201", ......... "30xxxxxx*240" in the phonebook of all extensions and configured distinctive ringing for such incoming calls as a method to have a different ringtone for intra-extension calls. Would these settings need updating too if these fields are customised?

It doesn't affect what's set on the phones themselves.

It's used throughout the online control panel to make things easier, for example, when setting diverts, you can easily see the name of a particular extension.

It won't affect your distinctive ringtone settings either.
